What this means, and who it is for

Few BTL campaigns fail because the idea was weak. They fail because the people do not reach the stores on the days they were meant to be there. Staffing is the part that shows least in a presentation and most in the field.

We recruit and brief hostesses, promoters, team leaders and helpers for your campaign, whether the rest of it is run by you or by someone else. We also handle the administration that comes with them: the day-labour register, the payment agreement, the GDPR notice and the health-and-safety briefing.

Roles follow the work: hostesses for welcoming and presenting, promoters for sampling and selling, team leaders for coordinating a group of locations, helpers for assembly, transport and the heavy part of the day.

How recruitment and deployment run

The same steps whether it is a single fair day or a campaign running for weeks.

  1. Step 1

    The role profile

    We agree what the person has to do during the shift, not only how they should look: what they say, what they sell, what they report, what they wear, which hours they work. That produces the profile we recruit against.

  2. Step 2

    Recruitment

    We select from our roster the people who match the profile and are available in the required window, then confirm availability for each day in the plan. We also recruit reserves for the critical days, because absences happen in every campaign.

  3. Step 3

    Briefing

    We brief the team on the product, the approach and the venue's rules. The health-and-safety briefing is delivered separately and signed. Anyone who has not been through the briefing does not go on shift.

  4. Step 4

    Day-labour paperwork

    For every person we complete the entry in the day-labour register, the payment agreement and the GDPR notice, before the first day worked. The file stays with us and can be produced during an inspection.

  5. Step 5

    Coordination in the field

    Shifts are coordinated by a team leader: they confirm attendance at the start, check equipment and materials, resolve what comes up on site and report. You have one person to call, not ten.

  6. Step 6

    Timesheets and closing

    At the end the timesheet is drawn up by day and by person, the day labourers are paid as agreed and the campaign file is closed. The attendance report stays with you, as part of the campaign report.

Frequently asked questions

What is “day-labour paperwork”, and why does it matter?

Single-day promotional work is done under Romania's day-labour regime, and that regime carries written obligations: the entry in the register, the payment agreement, the personal-data notice and the health-and-safety briefing. Their absence is penalised at inspection. That is why we complete them before day one and keep them on file.

Can we choose the people ourselves?

Yes. We send you the proposed profiles before the briefing and you can approve each person. For campaigns with many locations, approval is usually done on the team leaders and a sample of the team, otherwise the process delays the start.

What happens about absences?

They are reported the same day and a replacement is sought in that city. Attendance is confirmed at the start of the shift precisely so an absence shows up then, not in the closing report.

Are people briefed on our product or only generally?

On your product. General training — how to approach a shopper, how to behave in store — is the baseline. On top of it comes the product session: the arguments, the price, the promotion and the answers to the questions people actually ask in store.
